Job Title: Procurement Officer
Location: Imo
Employment Type: Full-time
Job Purpose
- To source, evaluate, and procure quality pharmaceutical products, raw materials, and related supplies at competitive prices, ensuring compliance with regulatory standards and supporting uninterrupted production and sales operations.
Key Responsibilities
Procurement Planning & Sourcing:
- Develop and execute procurement plans for finished pharmaceuticals, raw materials, excipients, packaging materials, and medical supplies.
- Identify and prequalify reliable suppliers, both local and international, in line with company standards.
- Maintain an updated supplier database, including performance history, certifications, and compliance records.
Supplier Negotiation & Contracting:
- Negotiate pricing, payment terms, and delivery schedules to optimize cost savings without compromising quality.
- Draft and review purchase contracts, ensuring legal and regulatory compliance.
- Establish long-term supplier agreements where beneficial.
Quality & Regulatory Compliance:
- Source only from suppliers compliant with NAFDAC, PCN, GMP, and WHO standards.
- Work closely with the Quality Assurance (QA) and Quality Control (QC) teams to ensure products meet specifications.
- Maintain procurement records for audits and regulatory inspections.
Order Management & Logistics Coordination:
- Raise and process purchase orders promptly to meet operational needs.
- Coordinate with logistics providers for timely delivery and clearance of imported goods.
- Track and expedite orders to prevent stock-outs or production delays.
Inventory Monitoring & Cost Control:
- Monitor inventory levels in collaboration with the warehouse team to avoid overstocking or expiry.
- Implement cost-control measures to maximize procurement efficiency.
- Analyze market trends to anticipate price fluctuations and adjust purchasing strategies accordingly.
Documentation & Reporting:
- Maintain accurate procurement records, contracts, and supplier performance reports.
- Prepare periodic procurement activity reports for management review.
- Ensure all procurement activities are documented in compliance with company policies and audit requirements.
Cross-functional Collaboration:
- Liaise with Production, Sales, QA/QC, and Finance departments to align procurement activities with operational demands.
- Support new product development projects with timely sourcing of trial and production materials.
Performance Indicators (KPIs)
- Procurement cycle time from requisition to delivery.
- Percentage cost savings achieved against budget.
- Supplier on-time delivery rate.
- Percentage of products meeting quality specifications on first inspection.
- Zero incidences of regulatory non-compliance.
- Stock-out incidents were prevented.
Skills & Competencies
- Technical Knowledge: Strong understanding of pharmaceutical products, raw materials, and industry regulations.
- Negotiation Skills: Ability to secure favourable terms while maintaining strong supplier relationships.
- Regulatory Awareness: Familiarity with NAFDAC, PCN, GMP, and import/export regulations.
- Analytical Ability: Skilled in market analysis, cost comparisons, and supplier evaluation.
- IT Skills: Proficient in procurement software, ERP systems, and MS Office Suite.
- Attention to Detail: High accuracy in documentation and quality checks.
- Interpersonal Skills: Strong communication and relationship-building abilities.
Working Conditions:
- Office-based with occasional travel to suppliers, trade fairs, or port facilities.
- May require extended hours during urgent procurement or import clearance processes.
