Job Title: Executive Assistant to the Managing Director
Location: Lagos
Description
- The Personal Assistant (PA) provides dedicated executive and personal support to the Managing Director/Chief Executive Officer (MD/CEO).
- This role requires a highly organized, trustworthy, and resourceful individual who can manage both professional and personal affairs with absolute discretion and efficiency.
- The PA serves as the MD’s right-hand person — ensuring that their day runs smoothly, their time is optimized, and their professional and personal obligations are well-balanced.
Key Responsibilities
Executive & Administrative Support:
- Manage the MD’s daily schedule — coordinating meetings, appointments, travel, and personal engagements.
- Handle correspondence, emails, calls, and messages with professionalism and confidentiality.
- Prepare meeting briefs, presentations, and reports for both internal and external engagements.
- Keep track of deadlines, pending approvals, and important documents that require the MD’s attention.
- Serve as a link between the MD and staff, ensuring clear communication and timely feedback.
Relationship & Communication Management:
- Professionally represent the MD in interactions with internal and external stakeholders.
- Draft, review, and manage correspondence and communication on behalf of the MD.
- Build and maintain positive relationships with clients, partners, and service providers.
- Handle sensitive information and personal matters with absolute discretion and integrity.
General Office & Support Functions:
- Maintain an organized filing and document management system (both physical and digital).
- Coordinate personal deliveries, payments, and appointments as needed.
Manage office supplies, refreshments, and logistics within the MD’s office.
Personal & Lifestyle Management:
- Assist with personal errands such as shopping, scheduling family appointments and coordinating household logistics.
- Handle confidential personal matters including travel plans, medical appointments, and family-related coordination.
- Maintain personal records, renewals (passports, insurance, memberships, etc.), and ensure important personal documents are updated.
- Arrange and oversee personal and family travel, including accommodation, transport, and itineraries.
- Support with social or personal event planning (e.g., birthdays, dinners, charity events, etc.).
Travel & Logistics:
- Organize and manage the MD’s travel arrangements, both local and international — including visas, flight bookings, accommodation, and ground transportation.
- Prepare detailed travel itineraries and ensure all logistics are seamlessly coordinated.
- Handle travel expense reports, reimbursements, and related financial reconciliations.
Qualifications & Experience
- Bachelor’s degree in business administration, Secretarial Studies, or any related field.
- Minimum of 3–6 years’ experience as a Personal Assistant, Executive Assistant, or Office Manager — preferably supporting C-level executives.
Strong interpersonal and communication skills. - Excellent organizational and multitasking abilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
High emotional intelligence, discretion, and professional demeanor. - Ability to work flexible hours and handle changing priorities with calm efficiency.
