Job Title: Events Assistant

Reports To: Events Manager / Events Lead
Type: Full-time

Role Overview

  • The Events Assistant provides administrative and logistical support in planning, organizing, and executing events.
  • This role involves assisting with vendor coordination, event setup, guest management, and ensuring that every event runs smoothly from start to finish.
  • The ideal candidate is organized, detail-oriented, and able to multitask in a fast-paced environment.

Key Responsibilities
Event Planning & Coordination:

  • Assist in developing event concepts, timelines, and checklists.
  • Support in preparing proposals, presentations, and event materials.
  • Coordinate with vendors, venues, and suppliers to ensure timely delivery of services.
  • Help manage event budgets, track expenses, and prepare post-event reports.

Logistics & Operations:

  • Handle logistics for setup, décor, catering, and equipment.
  • Support registration, ticketing, and guest communication processes.
  • Ensure all permits, licenses, and approvals are in place for each event.
  • Assist with on-site event management, including setup, coordination, and teardown.

Communication & Client Support:

  • Liaise with internal teams, clients, and partners to ensure event expectations are met.
  • Respond to client inquiries and provide timely updates.
  • Support in managing event marketing efforts — invitations, RSVPs, and follow-ups.

Administrative Support:

  • Maintain databases of vendors, partners, and attendees.
  • Prepare meeting notes, schedules, and event-related documents.
  • Conduct post-event evaluations and feedback collection.

Qualifications & Skills

  • Bachelor’s degree in Event Management, Hospitality, Communications, or related field.
  • 1–3 years of experience in event coordination, marketing, or administrative roles.
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office and event management tools (e.g., Canva, Trello, Google Workspace).
  • Ability to work flexible hours, including evenings and weekends when required.
