Job Title: Correspondence Manager

Description

- We seek a meticulous and detail-oriented individual to join our team as Correspondence Manager.
- This is a dedicated local recruitment effort, and only candidates currently residing in Port Harcourt will be considered for this opportunity.
The Role
- The Correspondence Manager is vital to our operations.
- You are primarily responsible for the accurate scanning and secure transmission of critical documents to designated recipients across our network.
- You will utilize a specialised internal platform to ensure seamless, efficient, and traceable document flow.
Key Duties
- Receive, log, and meticulously track all official written correspondence (emails, letters, reports) using a Correspondence Management System (CMS) or Customer Relationship Management (CRM) system.
- Assess the content of incoming correspondence, determine the appropriate action or response, and accurately assign it to the relevant department or subject matter expert (SME).
- Research and draft initial responses on behalf of senior management or the department head, ensuring the language is professional, on-brand, and aligns with company policy.
- Edit, proofread, and format all outgoing correspondence commissioned from other departments to ensure accuracy, clarity, consistency, and adherence to internal and regulatory standards.
- Liaise with various internal departments (e.g., Legal, Technical, Finance, Operations) to gather comprehensive and accurate response information.
- Manage and monitor the correspondence workflow to ensure all responses are completed and dispatched within required deadlines or statutory timeframes.
- Maintain an organized and compliant electronic and physical filing system for all correspondence.
- Generate reports on correspondence volume, response times, and recurring issues for management review and trend analysis.
Requirements
- Must be a resident of Port Harcourt.
- University graduates with a Bachelor’s Degree in English, Communications, Business Administration, Public Relations, Political Science, or a related field.
- Demonstrated experience in a clerical, administrative, or document-control role is a strong advantage.
- Excellent computer literacy, especially with document handling and email systems.

- In-depth knowledge of the Nigerian Oil and Gas Industry and the Port Harcourt terrain.
- Candidate must be a resident of Port Harcourt or be willing to relocate.
- Experience working in the South-South region, especially Rivers State.
